Case Study: Activities module
How The Auckland Art Gallery manages their Outward Loans

The Auckland Art Gallery Toi o Tāmaki uses the Outward Loan file from the Activities module, together with Procedural Control, to help manage their busy outward loans program. This ensures that all loan requests are well documented, and processed in a consistent, streamlined fashion.

When a formal loan request is submitted to the gallery, a new Outward Loan record is created with a procedural status of Request Received. Relevant information is entered in the appropriate fields, including the Loan Start and End Dates, Borrower, Exhibition Itinerary, Exhibition Title, and any staff involved in assessing or preparing the artworks.

From The Support Portal

Data Backup

Time to check your backup process

We have noticed a concerning trend for many of our clients. Some sites are backing up Vernon CMS, but only for a few days or weeks before the backup copy is overwritten. In some cases, the Vernon CMS backup is overwritten daily. This does not protect you from corruption or mistakes not identified immediately because you can only restore to the day before.

Check that you *archive* copies of Vernon CMS. You should have a history of copies of the system. You should be able to access your backups in an emergency.

What does your institution do with its backups? Overwrite or archive?

You can read about backup processes on our Customer Support Portal. There is also a help topic in Vernon CMS (“Backing up the system”) that outlines a typical backup schedule.
